Privacy and Cookie Policy

You’re privacy matters is important to us but can be difficult to understand exactly what it all means.

This page explains Firebird’s privacy and cookie policies on their websites and how it affects you.

This policy will be replaced on 25th May 2018 to reflect the changes being introduced by the General Data Protection Regulation (GDPR). You can see our new policy here.

This policy contains information about how Firebird uses your data and also information about the 3rd parties that Firebird uses to deliver their services.


Firebird delivers online conference and event management services for their customers. In providing these services, Firebird requires users to share their data with them. This includes:

  • When you sign up for any of our services we will record specific personal information about you, such as your name and email address.
  • We will also collect and store information about your use of our services so as to improve them. For example, we keep a log of what pages you visit and what features are being used at any time.
  • We also log account and transaction history for accounting purposes, and to monitor our business activities.

Any data you choose to share with Firebird is only shared with the organisers of the conference and is not shared with anyone else except as required to deliver our own services.

We take great care to keep any information you submit to us safe and store your data in Microsoft Azure data centres.

Firebird partners with Auth0 for the provision of sign up and log in services.

Your login details, including any passwords you use, are controlled externally by Auth0 who have their own privacy policy.

Google Analytics

We collect detailed metrics to analyse visits to our websites using Google Analytics. This records what pages you view within our site, how you arrived at our site and some basic information about your computer.

All of that information is anonymous – so we don’t know who you are; just that somebody visited our site.

The information we collect from analytics helps us understand what parts of our sites are doing well, how people arrive at our site and so on. Like most websites, we use this information to make our website better.

Online Chat

We use online chat software to support our customers on some of our websites. We collect information about the visitor including their IP address and their chat history through our third party supplier.

The information we collect helps us understand and support our customers.

Google, Linked In and other social networks

These services allow us to provide social login and similar features which we use on our websites.

They do not share your secure data with us and we don’t request any of your personal information from them except for your email address and name.

The use of social media services is purely to improve the user experience for you.

You have the ability within the social network provider to control the data you share with 3rd parties.

These social networks are liable to change their policies and you are encourage to keep up to date with any changes that may affect your data being shared with others.

Some 3rd parties like Facebook and Twitter may know you visited this website, if you use their services. We can’t control them but we don’t believe this knowledge poses any threat to you.


We may send you emails including:

  • Notifications regarding your service (such as confirmation of successful submission or invoices/receipts for purchases you have made).
  • Information which you have specifically requested (such as newsletters or notifications when a report is completed).

You have the ability to opt out of some aspects of this communication at any time.

We will never provide your personal information or email address to any third parties except where they are specifically employed to help deliver our own services.

Online Payment

We use a variety of payment providers to bill for our products online.

These companies will have access to your personal and payment information. When paying by credit card, Firebird NEVER have any access to your credit card details.

The third parties we use for collecting payments are:

  • FoxyCart
  • Any merchant service used by the conference organiser to process transactions made through FoxyCart

We share information with these companies only to the extent necessary for the purposes of processing payments you make via our website.


Firebird take many precautions to prevent the loss, misuse or alteration of your personal information. These precautions include:

  • Use of TLS encryption for data sent to and from our website
  • Use of Microsoft Azure Data Centres for the storage of your data
  • All access to confidential information is restricted by password and/or secure key

Whilst we take great care to ensure any confidential information remains protected we cannot guarantee the security of data sent over the Internet.

Of course you are responsible for keeping your password and user details confidential. Nobody at Firebird will ever ask you for your password, so please don’t trust anybody asking you for it.

Updates to this policy

We may update this privacy policy from time-to-time, particularly as technology changes.

You can always check this page for the latest version. We may also notify you of changes to our privacy policy by email.
