Assigning submissions to reviewers

Once you have submissions in your event and you are ready to start reviewing, you will need to assign submissions to reviewers or assign reviewers to submissions (whichever method you prefer).

With Firebird it is the submission itself that moves through the workflow stages (abstract submission, abstract review, paper submission etc.) not the project.  This means you are able to have some submissions in one stage and other submissions in entirely different stage.

Note: if you prefer to have all submissions in the same stage together at the same time, then this is still possible - you can choose which submissions move to which status, including all submissions at once (just click the "Select All" check box).

Step 1: Add in the reviewers (See Adding Reviewers for more details)

Step 2: Prepare the submissions for assignment.  Only those submissions marked up for review can be assigned.  Change the status of the submissions you wish to have reviewed: (See Get Submissions ready for Review for more details)

Step 3: Assignment.

From the Project screen, or any screen in the system, click on Reviewing in the navigation bar at the top.

You will be taken to your Reviewing dashboard.

Note: Your Reviewing dashboard may look very different to the example above due to the different reviewing options available to you.

From here you must choose your preferred method of assignment by clicking on the appropriate tile.  There are two options:

a) Assign Submissions to Reviewers

b) Assign Reviewers to Submissions

It makes little difference which method you choose, it is a personal preference and depends on how you work.

Once you have chosen your preferred method of assignment, follow the appropriate method below:

Method 1: Assign Submissions to Reviewers

Click on Assign Submissions to Reviewers to be taken to a list of submissions.

Note: This grid is configured to only show those submissions in a review stage.  If you are expecting to see more submissions, go back and check the status of the submissions you wish to assign.

Filter the submissions to find the one(s) you wish to assign e.g. to show only submissions that have yet to be assigned, filter by the Status column and choose the option where status is Review - Unassigned

Select the submissions you wish to assign by clicking the select box at the start of each row or the select all box at the top left hand side of the grid.

In the slide out, choose the reviewers you wish to assign the selected submissions to.  You can use the filters to choose the correct reviewers.

Click OK and the system will attempt to make this assignments.  The notifications will report back to you the number of successful assignments and whether any assignments could not be made, along with the reason.

*Note: If you applied a filter to the submissions before assigning reviewers, you made find less submissions in the grid then previously found as the status may have changed from Review - Unassigned to *Review - Assigned

Method 2: Assign Reviewers to Submissions

Click on Assign Reviewers to Submissions  to be taken to a list of reviewers..

Filter the reviewers e.g. by specialist area, select the reviewers and click on Assign X Reviewers (where X represents the number of reviewers selected).

Filter and select the submissions you wish to assign the reviewers to.

Click OK and the system will attempt to make this assignments.  The notifications will report back to you the number of successful assignments and whether any assignments could not be made, along with the reason.
